    Understand Their Situation – Put yourself in their shoes. Acknowledge their busy schedules and show empathy for their commitments. Communicate the Value of Their Input – Clearly explain why their feedback matters and how it will benefit them or the community. People are more likely to participate when they see the impact of their contributions. Let Them Choose the Time – Instead of imposing a schedule, allow them to decide when they are available.     To offer flexible options for discussion, we could set up a shared document for collaboration such as Google Doc, Paper Doc, or equivalent. These tools allow not only collectively editing but also making comments from time to time. The feedbacks could be more organized. Slack helps instant threaded discussion and video call. It could engage all the participants. Though social media is good for reach the public, the visibility of discussion depends on the algorithms.

    In this current economy and global upheaval many individuals are experiencing busy schedules and endeavoring to find time for other activities involving family and friends.     I would try a carrot approach. Time and something special can mean a great deal. You need to be available to the members, offer something they can use - be creative and super-understanding and not rigid in your approach. Listen, be patient and not overly critical. Everyone is busy these days with so many commitments that the organizer needs to recognize that. Maybe offer different ways of maintaining feedback as well.
