Being a Project Manager for a Clinical Research Organization you’re often tasked with multiple client cases. I tend to use Eisenhower Matrix or MoSCoW (Must-have, Should-have, etc.) to rank priorities across projects and focus on what truly moves the needle for each client. I also create a dashboard in smart sheet to visualize all projects in one place, track deadlines, assign tasks, and spot bottlenecks early.

Yes, balancing multiple client cases is overwhelming. I often optimize my workflow to manage time better by prioritizing tasks first thing in the morning before meetings and phone calls. This way, I can keep on track even when meetings and phone calls run long, or an unplanned situation needs to be dealt with immediately. First, I write down everything that needs to be done within that day and week. Then, I prioritize the list by deadline/importance. I also live by my Outlook and Google Calendars, even though I still prefer pen and paper.

One time at my work as a Telehealth Officer, providing consultations, health messages, and counseling for primary healthcare to project beneficiaries from remote and flood-disaster-affected areas, I had to manage multiple client cases efficiently despite connectivity challenges and urgent medical needs. In my experience, balancing numerous cases requires clear prioritization and structured workflows to ensure no client is left behind. One thing I've found helpful is using digital trackers and structured follow-ups to monitor patients’ progress while streamlining communication with the team. This ensures timely support without feeling overwhelmed.

Prioritize tasks using the Eisenhower Matrix (Urgent-Important Matrix), set clear deadlines, and use time-blocking to focus on high-impact work. Leverage project management tools to track progress, automate routine tasks, and communicate effectively. Regularly reassess workload to stay agile and adjust priorities as needed.

I've always started off by prioritizing high impact task first, and then moving towards the lower impact task. For example, in a service environment with multiple calls coming in. I would focus on the call for units, causing down time and reducing productivity. Then move to the next level of priority once those units are operational but could potentially be causing product, quality issues or productivity issues.
