Assess training needs. A needs assessment helps you determine which teams or employees need training, what training they need, and the best ways to deliver it. Begin by conducting a thorough assessment of the organization’s training needs. Identify skills gaps, job-specific requirements, and areas for improvement. Gather input from employees, supervisors, and HR professionals to determine the training priorities.  Establish clear and measurable objectives for the training program. Define what skills and knowledge employees should acquire and outline the expected outcomes. These objectives will serve as a roadmap for designing the training content.

People are busy, but they'll make time for what's important to them. I deliver consistent results for my clients which makes it easier for them to make sacrifices because they're seeing the results they want and they can't wait for our next session.

The key is understanding my client's complete picture BEFORE creating their plan. Such as: - Work hours - Travel demands - Family commitments - Sleep and stress patterns - Exercise history and preferences This information enables me to build a truly bespoke program so they get the best results possible with the time they have available to train. The 2nd step is to look at "The Other 165." These are the hours outside the gym that truly determine success. By focusing on lifestyle change and habit building, my clients are able to get the body they want without needing to spend all of their free time in the gym or be perfect with their diet every day.

Great question! Here are some tips to balance client schedules with customized training plans seamlessly: Clear Communication: Set expectations early and ensure clients understand the process. Flexibility is key, but structure prevents misunderstandings. Smart Scheduling: Use time blocks or fixed slots to optimize training sessions while maintaining flexibility. Leverage Technology: Utilize scheduling tools or automation to streamline appointments and adjustments. Prioritize Effectively: Not everything needs to happen at once. Identify key training goals with the client and build from there. Don’t Forget Self-Care: A sustainable schedule considers not just client needs, but also your energy and well-being. What strategies work best for you?

One thing I've seen helpful 1. Find out as much as you can about the client pain point as well their goal. 2. Find a schedule that best suits the client without compromising other clients and your clients time. 3. Pre-plan your clients journey so you both have a plan of action and don't figure things out as go. 4. Assess and celebrate the clients achieved goals as well as other milestone that will affect the progress like attendance and movements. 5. You are the motivation the client needs to perform well so take good care of your mental and physical state.

Managing client needs and training plans requires a flexible, adaptive approach. When designing training plans, it is crucial to prioritize and balance clients' urgent needs against long-term training goals. By creating modular training content tailored to clients' varying schedules, we can seamlessly integrate both goals. Communication remains key. An open dialog helps to clarify expectations and adjust training plans accordingly. This not only promotes client satisfaction and engagement, but also improves their overall results as adjustments can be made quickly to optimize training progress.

Over the last 20 plus years, I’ve been coaching - Personal Training and balancing their schedules with customized training plans is actually quite simple when you focus on managing and prioritizing their goals effectively. It all comes down to assessing priorities, understanding what’s urgent versus long-term, and structuring workouts accordingly. Flexible training modules make it easier for clients to stay consistent, even with busy schedules, by offering adaptable workout options. Most importantly, open communication ensures alignment between their expectations and the training plan, allowing for real-time adjustments as needed. With the right approach, any client—regardless of their schedule—can achieve success in their fitness journey.

Know the clients schedule, know how much time they are willing to invest, then make a plan accordingly. Often its not a time problem, its a priority problem. Its always possible to find 30 - 45 mins in a week to be active. So gather the necessary information and show the client how the can fit in into their "busy" schedule.
